How to Track Bills and Subscriptions in Notion
List every recurring item once with its amount and cycle. Convert each to a monthly equivalent (weekly times 52 divided by 12, quarterly divided by 3, yearly divided by 12, cancelled counts as 0), then total income, bills and subscriptions separately. Income minus bills minus subscriptions is what is left after fixed costs, and a subscription's monthly equivalent times 12 is its yearly cost.
One list for everything that repeats
Give each item a Type (Income, Bill or Subscription), an Amount, a Cycle, a Next date and a Status (Active, Review or Cancelled). A Cancel by date on yearly renewals tells you when to decide before you are charged again.
Why the monthly equivalent matters
A yearly renewal looks small on the day it is charged and invisible the rest of the year. Converting it to a monthly figure puts it next to everything else, and the yearly total shows what the subscriptions add up to before the renewal lands.
Keep it honest
- Use the same currency for every item and set the number format once.
- Mark a subscription Cancelled only after you have cancelled it with the provider.
- Check the totals against one real month of statements before you trust them.
When something else fits better
- If you want bank syncing or investment tracking, use a banking app. A Notion tracker only knows what you type in.
- If you prefer paper, a printable budget binder with a bill tracker and subscription page does the same monthly check.

Questions
- Do I need to connect my bank?
- No. Nothing connects to a bank. You type each item once and update it when it changes.
- Is this financial advice?
- No. It is an organising tool for seeing your own recurring commitments.
- Can I use my own currency?
- Yes. The amounts are plain numbers; set the number format to your currency.
